We are committed to protecting your privacy and being transparent about how we handle your data. This policy covers two groups of people: the solar companies and businesses ("Clients") who subscribe to our platform, and the individuals ("Users") who interact with the platform on behalf of our Clients.

1. Who We Are

Depending on context, we act as:

  • Data Controller - for data we collect directly from Clients (solar companies)
  • Data Controller - for platform-level data collected from Users
  • Data Processor - when handling User data on behalf of a Client

2. Client Data (Solar Companies)

What we collect

When a solar company subscribes to Voltflo, we collect:

  • Business name and registered address
  • Contact name, email address, and phone number
  • Billing information (processed and stored securely by Stripe - we do not store card details)
  • Platform usage data (logins, feature usage, configuration settings)
  • Communications with our team

How we use it

  • Deliver and manage your subscription
  • Set up and configure your platform and/or website
  • Send essential service communications (onboarding, billing, updates)
  • Improve our platform based on usage patterns
  • Comply with legal and regulatory obligations

Legal basis

  • Contract - processing necessary to deliver the services you have subscribed to
  • Legitimate interest - platform analytics, security, and service improvement
  • Legal obligation - where required by Irish or EU law

How long we keep it

Client data is retained for the duration of the subscription and for 12 months after cancellation, after which it is securely deleted. Billing records may be retained for up to 7 years for legal and tax compliance.

3. User Data (Platform End Users)

What we collect

When a User interacts with a Voltflo-powered journey on behalf of one of our Clients, we collect:

  • Name, email address, and phone number
  • Property address and Eircode
  • Energy usage and related inputs
  • Interaction logs (e.g. report sent, call booked)
  • Non-personal technical data (browser type, device, approximate location)

How we use it

  • Generate and deliver a personalised energy report
  • Enable the relevant solar company to follow up
  • Improve platform functionality and performance

Important: Once a User downloads a report or submits their details, that data is shared with the solar company they are engaging with - even if they do not book a call. The solar company then becomes responsible for how they use that data under their own GDPR obligations.

Legal basis

  • Consent - when a User requests a report or submits their contact details
  • Legitimate interest - core platform features, analytics, and security

How long we keep it

User data is stored for the duration of the solar company's subscription, after which it is deleted or returned on request. Non-identifiable logs may be stored for up to 12 months for audit and compliance purposes. We do not retain User data for marketing purposes.

4. Your Rights

Whether you are a Client or a User, you have the right to:

  • Access - request a copy of your data
  • Rectify - correct any inaccuracies
  • Erase - request deletion of your data
  • Restrict - limit how your data is used
  • Object - to processing based on legitimate interest
  • Port - receive your data in a machine-readable format
  • Withdraw consent - at any time, without affecting prior processing
  • Not be subject to automated decision-making - we do not make automated decisions that produce legal or similarly significant effects about you. We may analyse how a user interacts with the platform (such as journey and engagement signals) to help the solar company respond effectively

5. Who We Share Data With

We do not sell data to third parties. We share data only with:

  • Solar companies (Clients) - User data is shared with the relevant Client once a User submits their details
  • Stripe - for secure payment processing (Client billing data only)
  • Infrastructure providers - cloud hosting, email delivery, and analytics tools operating under strict data processing agreements (all EEA-compliant, including AWS)

6. Security

All data is stored in GDPR-compliant infrastructure. Access is strictly limited and monitored. We use industry-standard encryption for data in transit and at rest.

7. Cookies

We use essential cookies to run the platform, and analytics cookies (such as Google Analytics) to understand how the platform is used. Where the platform is embedded on a solar company's website, that company's own cookies and tracking may also apply. A full cookie policy is available on request.

8. Changes to This Policy

We may update this policy from time to time. The latest version will always be available at this URL. For material changes, we will notify Clients by email.
